Suggested PLANNING GUIDE for LEGENDARY Spiritual Campaigns

3 months before OR 3 WEEKS before the GRAND KICK OFF*

  • Select planning team
  • Conduct planning meeting
  • Select dates of A 21 Day Experience
  • Prepare budget (Be sure to include items such as planning, promotion, media, leader kits, small-group member handbooks, and any other resources that might be necessary.)
  • Create planning calendar

2 months before OR 3 WEEKS before

  • Prayer Coordinator establishes team and begins praying
  • Begin working on promotion/media
  • Determine A 21 Day Experience schedule (kick-off Sunday, any related ministry projects, possible closing celebration)
  • Planning team trains/enlists Sunday school/small-group facilitators
  • Order Materials and distribute to leaders .


6-8 weeks before OR DAYS before

  • Music minister begin looking for appropriate praise choruses/hymns
  • Drama Ministry begin creating, finding appropriate skits
  • Hang Countdown calendar in Sanctuary


4 weeks before OR DAYS before

  • Begin promotion
  • Begin planning launch event/service


2 weeks before OR DAYS before

  • Distribute member handbooks/make available for purchase
  • Small group leaders begin enlisting help from members to match their opportunities. Consider refreshments, greeters, attendance keepers, name tags, etc.


1 week before OR DAYS before

  • Make final preparations for launch Sunday
  • Place commitment cards in every Sunday school class/every seat in sanctuary
  • Continue to distribute learner guides
  • Pastor continues to announce/promote in service
  • A 21 Day Experience worship bulletin/insert printed

CAMPAIGN ACTION PLAN
HOW TO IMPLEMENT THE CAMPAIGN

The W.I.R.E. Communications Team needs to be alert to publicity and print deadlines across the board in all of the other teams' responsibilities and TIMELINES.

PART 1
PREPARATIONS that must be PERFECTED
(this is happening weeks and days before the CAMPAIGN)

  • Recruit CAMPAIGN TEAM and MEET as often as you can.
  • Recruit PRAYER TEAM and begin to PRAY the PRAYER GUIDE.
  • Recruit Working Teams.
  • Order Resources [HOW MANY ENVELOPES? HOW MANY BOOKLETS? ETC]  
    • Tip:  ORDER 2 Envelopes or more PER PERSON in your congregation.  ORDER 1 Booklet 21 Day Reading Guide / 4 Week Life Group Lesson PER PERSON in your congregation.  ORDER also a BOOKLET for NEW PEOPLE you would like to REACHOUT, that they may be discipled well in QUIET TIMES.  
  • CLEAR the church Calendar.
  • Hold Campaign briefings for KEY Church Leaders [LifeGroup Leaders and Ministry Leaders].
  • Have a Clear announcement of the START and END of the CAMPAIGN to your Key Leaders and Entire Congregation.
  • REGARDING the Sunday WEEKEND SERVICES Team:
    • RECRUIT team, begin meeting and praying (complete the 5W's)
  • REGARDING the LIFE GROUPS Coordinating TEAM
    • RECRUIT team, begin meeting and praying
    • CHOOSE your LIFE GROUP launch strategy: 
      • The "ALL in ONE VENUE STRATEGY" (where all LIFE GROUPS Meet Together ... via TRIBE or new CONTACTS).  This is a meeting of 60 to 90 people or more in 1 VENUE, then segregate them into NEW LIFE GROUPS of 8 to 10 to 12 people.  SECRET:  YOU MUST HAVE the right number of LEADERS raised to accommodate all.  EXAMPLE:  For a group of 80 people, you must have 8 to 12 LEADERS on STAND-BY.
      • The INDIVIDUAL Life Group Meet Up.
    • SET GOALS for the number of NEW GROUPS YOU ARE BELIEVING GOD for.
  • REGARDING your VENUE for SUNDAYS or WEEKEND SATURDAYS
    • You must already BOOK the space (if using venue other than your church building) and church schedule for Celebration Sunday-Saturdays.  Make sure this is DECORATED and INSPIRING to all who will come and visit. 

PART 2
PREPARATIONS that must be PERFECTED
(this is happening days before the CAMPAIGN)

  • ALL church leaders and influencers must know what this CAMPAIGN is all about.  You may read the Letter of JR to all of them.  You may do this INDIVIDUALLY or per FAMILY or at a SPECIAL Meeting you will call.  The most important thing is that ALL must KNOW!!!
  • IDENTIFY printed pieces to be produced for the Campaign 
  • ESTABLISH a "Grand Central" Campaign information HUB 
  • REGARDING the SUNDAY WORSHIP CELEBRATIONS 
    • BRAINSTORM ideas for Weekend Services FROM Start to the End of the Campaign.
  • REGARDING NEW Life Groups 
    • BRAINSTORM ideas for recruiting NEW LEADERS, NEW HOMES, NEW COMMUNITIES, NEW OFFICES where to do the LIFE GROUP STUDIES.
    • You may list all the RESTAURANTS, HOTELS, SCHOOLS, and etc where you may provide a STUDY on this CAMPAIGN by sending your NEW or CURRENT LEADER to OPEN a 4 to 5 Week Study using our BOOKLETS (21 DAILY READING and Life Group LESSONS)
    • RECRUIT Host Homes and Life Group Leaders, and hold an orientation meeting for them.
  • LAUNCH the PRAYER STRATEGY
    • make sure that this CAMPAIGN is totally covered for in PRAYER and FASTINGS.
    • RECRUIT Pastor’s Prayer Team -- they will only pray for the PASTOR and his or her family.
    • IMPLEMENT the Prayer Cards / GUIDE.
  • REGARDING the PRODUCTION of SIGNS and BANNERS
    • ALL designs and banners and communication ideas must be flooding the SOCIAL MEDIA and newspapers and radio and etc within your community.
  • REGARDING SWE
    • DEVELOP the plan for the special features for the Weekend Services, and extend invitations THAT is LEGENDARY.
PART 3
PREPARATIONS that must be PERFECTED
(this is happening days before the CAMPAIGN)

  • REGARDING new Life Group Leaders and Facilitators
    • RECRUIT new Life Group Leaders [1 LG Leader may lead 2 to 3 or more NEW groups]
    • SCHEDULE the "ALL in ONE VENUE Strategy"  for the first week of the Campaign.
    • MATCH Hosts and Life Group Facilitators.
    • RUN extra COACHING time on HOW to be a MEMBER of HLM.  This is for PEOPLE who really would like to FACILITATE a group but not yet a member of HLM.
    • CALL all to attend the SUMMIT.
  • CONTINUE meeting weekly.  Review the schedule for the next two weeks with your TOP LEADERSHIP.
  • CONTINUE the Prayer Strategy.
  • ROLL out all COMMUNICATION banners or posters! 
  • PLAN method of distribution for The BOOKLETS for LAMBS, for GENERAL PARTICIPANT.
  • RECRUIT Host HOMES using signup cards and list of available Host Homes and Offices.
  • SUMMIT GROUP must plan program, theme, decor, food and etc.
  • START giving BOOKLETS to Key Leaders.  Remember the Booklet includes the 21 DAILY READING Guide that the LORD may use to speak to His people during their Prayer and Quiet Time Devotions.  This is a powerful TOOL!!! 
  • CONDUCT Staff/Team "Day of Fasting".
  • The COLLABORATIVE TEAM must give ALL the TRANSCRIPTS for THE CAMPAIGN SERMONS to all PASTORS and TEACHERS a week before through an exclusive delivery system via NATIONAL OFFICE HLM.  This will help all who are preparing their SERMONS, prepare in advance.  THIS IS of UTMOST IMPORTANCE.

PART 4
PREPARATIONS that must be PERFECTED
(this is happening 72 HOURS before the CAMPAIGN)
  • ANNOUNCE Week 1 of the Campaign:  HOW TO EXCEL IN LIFE.
  • DELIVER pre-Campaign message
  • FINALIZE special features for next week
  • REGARDING Host Homes
    • ADVERTISE in local paper and newsletter
    • DISTRIBUTE Life Group Curriculum and other materials 
  • The CAMPAIGN TEAM must:
    • HAVE a weekly meeting. Review this week’s schedule.
  • The PRAYER TEAM must:
    • DISTRIBUTE Prayer Cards to Life Groups and HOST Homes
  • The WIRE TEAM must
    • SYNTHESIZE the communications being generated for all the other teams
  • The WEEKEND SERVICES TEAM must:
    • DELIVER the message, HOW TO EXCEL IN LIFE.
    • ANNOUNCE Week 2 of the Campaign, HOW TO EXCEL IN FAITH.
    • FINALIZE special features for next week 
PART 5
PREPARATIONS that must be PERFECTED
(this is happening WITHIN the CAMPAIGN DAYS)
  • The LIFE GROUPS Team will hold their "ALL in ONE VENUE" event.
  • ALL LifeGroups will hit Week # 1 Lesson based on the BOOKLET.
  • Prepare for the HOUSE CHURCHES EXPO event -- fair, booth construction, signage, decorations at the HLM GROUNDS (applies only to BACOLOD).
  • The WIRE Team continues to follow-up everyone who is not yet in a LIFE GROUP join a Life Group.  The WIRE Team MUST provide a detailed DIRECTORY of LIFE GROUP VENUES, both the "ALL IN ONE VENUE" and the INDIVIDUAL LIFE GROUP VENUES.  This must include VENUE, OIC, NUMBER TO CONTACT, TIME and DAY of LIFE GROUP meeting.
  • Regarding our CELEBRATION SUNDAY TEAM
    • ESTABLISH goals and budget for Celebration Sunday 
    • PLACE “Tell Us Your Story” response forms in bulletin for Week 2
